Boat charter software: why charter booking software has to start from the certificate, what charter boat booking software has to do about crew and weather, what charter management software adds, and where boat reservation software stops

On the water the most important number in your booking system is not yours. A small passenger vessel carries the number of people its certificate of inspection says it carries, with the crew that certificate requires, and no busy Saturday changes either. This page is about building a booking operation on top of that fact: what the software has to treat as a hard limit, what it has to do when the weather cancels a day, and which of the products in this category understand that a charter is sold whole rather than by the seat.

Capacity is set by the certificate, not by the calendar

For an inspected small passenger vessel the passenger number, the crew required and the conditions of operation come from the certificate of inspection, and they are not preferences. The right thing for software to do with that number is treat it as a ceiling it will not sell past, including across channels, including for a private booking where somebody wants to squeeze one more aboard. Put the certificate figure in, not the number of seats you can physically fit.

Whole-boat and by-the-seat are two different products

Most charter operators sell both: a private charter that takes the vessel out of availability entirely, and scheduled trips sold by the head. The software has to express both against the same vessel without double-booking it, which sounds obvious and is the thing simple products get wrong. Test it by putting a private charter on a day that already has two scheduled trips and watching what happens to the public availability.

What charter management software adds

Beyond bookings, the management half is the vessel itself: which captain is assigned and whether their credential is current, fuel and maintenance against the boat rather than against the day, and the paperwork a trip generates. Whether you need that in the booking system or in a separate record depends on how many hulls you run; below about three, a booking system with a note field and a spreadsheet is usually honest enough.

The weather call is the real test

Nothing in this trade tests software like a cancelled Saturday. Forty guests across three trips have to be told, moved or refunded, and the ones who move need seats on days that may already be busy. Ask any vendor to show you cancelling a departure and rebooking its guests in bulk, because that is the process you will use more than any other and it is the one most often left as forty manual jobs.

Two hulls and the day one is out of the water

The moment you own a second vessel, availability stops being a calendar and becomes an allocation: which boat, which captain, which trip. A haul-out, an engine problem or an expired certificate takes one hull out for a week and every booking on it has to move to the other or be refunded. Ask how the product reassigns a day's bookings from one vessel to another, because with two boats you will do it several times a season and by hand it is an afternoon.

What capacity should I put in the booking system?

The number on your certificate of inspection, not the number of people who fit. The system should refuse to sell past it across every channel at once, which is exactly the protection you are buying. Anything else is a note somebody has to remember on a busy weekend.

Can one system sell private charters and scheduled trips?

The good ones can, against the same vessel, without double-booking it. Test it directly: put a private charter on a day that already has scheduled trips and see whether the public availability closes. Simple products often treat them as unrelated calendars.

What happens to bookings when weather cancels a day?

That is the process to test before buying. You want to cancel a departure and move or refund its guests in bulk, with the messages going out automatically. Doing it one guest at a time is the difference between an hour and an afternoon, on the day you have least of both.

What happens when a captain is unavailable?

The same problem as a vehicle being out: the day's bookings need reassigning or cancelling in bulk. Ask to see that done in a demo, because with a small crew it happens several times a season.

Do I need software for one boat?
