Fishing charter booking software: what a charter trip has to carry that a tour does not, from tide-driven start times to licenses, bait and the split between a shared trip and a private one

By , FounderPublished , updated

A fishing charter is a charter with a timetable set by something other than you. The tide moves the start, the season moves the target, and a blown-out forecast moves everybody. On top of that sits the ordinary charter question of whether a trip is sold whole or by the head. This page is about what booking software has to handle for a captain running one or two boats, and what is honestly still easier on a phone and a whiteboard.

Start times that move with the tide

If your departures are set by tide rather than by clock, a system that only understands a weekly pattern will have you editing next month by hand every month. What you want is the ability to set times per day in bulk, from your own table, and to have availability follow. It is a small feature that decides whether the software saves you an evening a month or costs you one.

Shared trips and private trips on one boat

Most captains sell both and the two must not collide. A private booking takes the boat out of availability entirely; a shared trip sells by the head against the certificate figure. The test is the same as for any charter: put a private booking on a day with a scheduled trip and watch whether the public availability closes. If it does not, you will find out on a Saturday.

Licenses, bait and what is included

Whether a license is covered, whether bait and tackle are included, and what the guest must bring are the questions that arrive by phone all season. They belong on the confirmation rather than in a repeated conversation, and a booking product that lets you attach trip-specific notes to the confirmation will quietly remove a chunk of your admin. The free confirmation worksheet here works out the money half of the same document.

Questions people ask about fishing charter booking software

Can booking software handle tide-driven start times?

Some can, by letting you set times per day in bulk rather than as a weekly pattern. It is worth asking about specifically, because the alternative is editing next month by hand every month, which is an evening you will resent.

Should I sell fishing charters by the head or by the boat?

Most captains do both and the system has to keep them from colliding on the same day. Selling by the head fills a shoulder weekday; selling the boat whole is simpler and usually better paid. The arithmetic on which fills the season better is the group pricing worksheet on this site.

What should the deposit policy say about weather?

Say explicitly that a trip canceled by the captain is treated differently from a guest cancellation, and what each means for the deposit. Putting both on the confirmation at the moment of booking prevents almost every argument that follows a blown-out forecast.
